Schedule A Meeting
The tablet that is installed outside of a conference room and set for scheduling display mode shows the meetings that are scheduled for the room. If the room currently has a meeting on its calendar, the bottom of the screen shows that it is Busy. If no meetings are currently scheduled, the room shows as Available.
- Tap the Reserve button on the screen, regardless of whether it is Busy or Available. A calendar will open that displays the times that the room can be reserved.
- Tap New Meeting to open a keyboard where you can edit the meeting title.
- Press the screen between the two blue lines, and then drag both lines up or down.
- Position the lines so that the top blue line indicates the meeting start time.
- Press the blue dot to the right of the bottom blue line to control the length of the meeting. Position the bottom blue line to indicate the meeting end time.
- Tap the toggles for Require Meeting Passcode and/or Waiting Room if you want to change these settings.
- Tap Add Participants to invite attendees by email.
- Tap Reserve.
The meeting will be added to the scheduling display, the room controller, and the online calendar associated with the room.
Start or Join a Meeting From Controller
You can start or join a meeting where a Zoom Room is set up by using the room controller.
- To start a meeting, tap Home on the controller, then tap New Meeting.
- To join someone else’s meeting, tap Join on the controller and enter the meeting ID.
- If a calendar service is configured, tap Home on the controller, then tap the entry for the meeting you would like to begin. Tap Start to join.
If you want to join the meeting on your own laptop or phone while you’re in the room, you can join a meeting from the Zoom desktop client or mobile app.
Chat With Others
Public chat messages in a meeting are displayed on the Zoom Rooms screen, and you can view and respond to them on the Zoom Rooms controller.
- On the Zoom Rooms controller, tap Chat .
- Tap the message bar and use the keyboard pop-up to type a message. Tap the send button when you are finished.
- If you want to chat with an individual participant, tap the arrow to the right of Send to: and then tap the participant you want to chat with.
- To change the way chats are shown on the Zoom Room display, tap the gear icon at the top right of the chat window. Use the toggles to show chat notifications or the full chat panel on the room display.
Record
- On the Zoom Rooms controller, tap Start Recording.
- If you are in an instant meeting, you will be prompted to enter the email address where the cloud recording link will be sent.
- If you are in a scheduled meeting, the cloud recording link will be sent to the email address of the host that scheduled the meeting.
- To stop the recording, tap Stop Recording, or tap Leave and then tap End meeting for all.
Alternatively, you can allow a meeting participant to record locally:
- In the meeting, tap Manage Participants, then tap the participant you want to give recording privileges to.
- Tap Allow Recording to provide the privileges.
- The participant can click Record to start the recording.

Change Meeting Layout
- On the Zoom Rooms controller, tap View .
- Tap Speaker, Thumbnail or Gallery to change the layout.
- Once you have selected a layout, tap the arrow next to View (if applicable), then tap Options to configure more layout settings.
- When you are finished, tap the controller screen outside of the Layout Options panel to close the window.
Share Content
If you have your laptop or mobile device with you, you can easily share content in a Zoom Room via share.zoom.us.
- Start or join a meeting in a Zoom Room.
- On the Zoom Rooms controller, tap Share Content.
- Open a web browser on your laptop or mobile device and visit share.zoom.us.
- Enter the meeting ID or personal link, then click Share Screen. You can also click Enter a Sharing Key.
- When prompted, allow your web browser to open Zoom.
- Select the screen or application you want to share, then click Share.
Alternatively, you can use direct sharing, Airplay, or a wired HDMI video capture to share content from your laptop or mobile device to a Zoom Room.
